Exhibitor form

1. Entry of goods and possession

1. Entry of goods will be allowed from 9:00 am on 18/12/2026.
2. Possession of bare space shall be given from 9:00 am onwards on 18/12/2026.
3. Possession of the constructed stall/stand from 6:00 pm on 19/12/2026.

2. Construction and decoration

1. Shell scheme: AIM Events shall provide a built-up booth (9 sq. m) constructed with a prefab system with fascia board, carpet, 1 table, 2 chairs, one 5/15 amp plug point, 1 waste paper basket and 3 spotlights. Each panel is 1 m wide. If the space increases, the facilities increase proportionately. Nails, pins, racks, screws or any such material on the wall panels of the built-up stall are not allowed; any damage to the wall panels is liable for penalty.
2. To change the bare space to a shell scheme before the last date, 20 November 2026, the difference in rate has to be paid. After the last date, the difference in rate + Rs 1,000/sq. m will be charged.

3. Power supply

1. Shell scheme stalls get a basic 5/15 amp point, suitable for charging mobile phones and laptops, during event days only.
2. Bare space: a working 1 KVA connection is provided during set-up days only. For event days, electric power must be purchased for bare stall lights and machinery, if any.
3. For all other devices, a minimum 3 KVA connection has to be purchased.
4. All exhibitors must submit their extra power and furniture requirements before 20 November 2026. After 20 November 2026, double charges will be levied.
5. Maximum height allowed for a fabricated stall is 4.5 m.

4. Damage caused to the exhibition by exhibitors

1. Once the exhibition closes, the stall area must be restored to its original condition. Exhibitors who damage any part of the exhibition hall, inside or outside — the floor, building or other exhibition structures and equipment — will pay the actual cost of repair.

5. Cancellation terms and conditions

1. The full advance payment will be deducted if a booked stall is cancelled.
2. 100% of the stall amount will be deducted if the allotted space is cancelled 90 days before the first day of the event.
3. 100% of the stall amount will be deducted if the allotted space is cancelled 29 days or less before the first day of the event.
4. Refund requests are processed under the rules after the exhibition ends and its revenue account is closed, which may take approximately one to three months after the event.
5. If the exhibition is not held due to a natural calamity or a political or communal issue, the organiser and event manager will not be held responsible. The participation amount will be refunded after deducting expenses incurred, or carried over to the next edition. The final decision rests with the event manager and the organising committee of office bearers of AIM Events.

6. Miscellaneous conditions

1. Cleanliness and maintenance: participants are responsible for the cleanliness and maintenance of their stalls. AIM Events will arrange cleaning of common passages and areas. Participants must remove empties and waste material; no empties or wooden material may be kept behind stall partitions.
2. Attendance at the stand: no stand should be left unattended during exhibition hours. Participants will not carry out any activity which, in the opinion of AIM Events, amounts to nuisance or annoyance. AIM Events shall have the right to take remedial action as deemed fit. Hostesses, if employed, should be in decent business attire.
3. Exit permit and vacation of stall: all participants shall dismantle their stalls by 6.00 am on 23rd December 2026. The post-fair exit is through the Exit Gate only. Exhibits, cases and display material may be removed from Hall 2, Yashobhoomi, Dwarka only with an Exit Permit, issued by the hall master / sector officers deputed by AIM Events.
4. Participants who fail to vacate the space shall pay a penalty to AIM Events as prescribed, and AIM Events may remove such exhibits and materials at the exhibitor's risk and cost. Storage of exhibits in the open area is not permitted after the close of the fair and will attract penal rent as applicable.
